On-Site Management Southern Management Group will provide and maintain a management team during the Building Program to assist in contract administration. As an agent of the Owner, Southern Management Group shall establish and implement coordination and communication procedures among the Owner, Design Professional, and Contractor. Southern Management Group Field Staff shall monitor the construction activities on a daily basis. Full time representation can be provided, if desired by the Owner, depending on the size and complexity of the various projects.

cmWare Software cmWare is web-based software that Southern Management Group has developed which allows all project information to be complied in a consistent format, from a single point of entry. This software contains all budget and contract information for the Building Program. This software also maintains record of all Change Order Logs, Request for Information Logs, Meeting Minutes and Payment Applications from contractors. All payment information is entered once and is distributed into subcategories with an eventual result of providing an overall budget picture for individual projects as well as the entire building program.

Change Order Control Southern Management Group shall establish and implement a change order control system. Southern Management Group shall discuss proposed change orders with the Contractor and endeavor to determine the Contractor’s basis for the cost to perform the work. Southern Management Group shall independently validate the proposed price and negotiate on behalf of the owner where necessary. Southern Management Group shall make recommendations to the Owner prior to execution of the change orders.

Progress Payments In consultation with the Design Professional, Southern Management Group shall review the payment applications submitted by the Contractor and determine whether the amounts requested reflect the progress of the Contractor’s work to date.

Management Information Systems (MIS)

Project Cost Reports Southern Management Group shall prepare and distribute Project Cost Reports during the Construction Phase.

Cash Flow Reports Southern Management Group shall periodically prepare and distribute Cash Flow Reports during the Construction Phase.

Contractor’s Safety Program Report Southern Management Group shall confirm that each contractor has a Safety Program in place and that the Contractor’s Safety Programs are coordinated.

Final Inspections Southern Management Group shall develop and implement a procedure to expedite the initial punch list and the final punch list. Also, Southern Management Group shall coordinate the final inspections of various agencies required prior to occupancy.
